Fair processing

By submitting Personal Information to this website, which is linked to the Teamo App, (both hosted by Sportplan Ltd) you agree that Blueharts Hockey Club may process it in the manner described below. We will always deal with your Personal Information fairly and in accordance with your instructions.

It is your responsibility to maintain the integrity of your personal computers and smart phones and to maintain the accuracy of the personal information you provide. We will prompt you periodically to review the data we hold.

This Policy describes our current practices. ‘Personal Information’ is information about you personally, which, from time to time, you will be asked to submit (e.g. name, sex and email address) in order to receive or use our services. With changes in the law and technology, our practices may change. If this happens, we will advise you. 

Use of Personal Information

Designated officials will use your personal information to administer the club. This includes:

a. maintaining our membership database.

b. holding the medical information that you supply and making it available to the members who need to be aware of it.

c. contacting you with information pertinent to your membership (or application for membership) and with details of events and other matters which may be of interest to you.

d. to inform you of team selection.

e. marketing and market research.

f. internal use to help us improve our services and to help resolve any problems.

Disclosure of Personal Information

Any information you provide will be used by us and possibly passed to our partners for dealing with payments and using communications portals. 

We provide information to England Hockey about club officials in respect of the competitions in which we participate. Plus 

You should be aware that your information may be disclosed where we are obliged or permitted by law to do so.

Disclosure of Information about Under 18s

In the event of a medical or child protection issue, we may disclose certain information to medical specialists and/or to the police, children’s social care, the Courts and/or probation officers and, potentially to legal and other advisers involved in an investigation.

As the person completing an application on behalf of an Under 18, you must understand what will happen to the information and how it may be disclosed. You agree to the child in your care taking part in the activities of Blueharts Hockey Club. And you understand that in the event of injury or illness, all reasonable steps will be taken to contact you and to deal with that injury/illness appropriately.

Retention of Personal Information

We will hold your Personal Information within our systems for as long as you remain a member of the club or if you want to be kept informed of club activities. If you cease to be a member or no longer wish to be kept informed of club activities, all personal data will be deleted.

Ex-members can ask us to remove their data by writing to the Membership Secretary.

The Game Management System (GMS)

Note that England Hockey has their own system; the GMS, which you are required to join if you wish to participate in the competitions that they organise. Blueharts do not control the data on GMS, except to authorise Blueharts members joining it.

Cookies

A ‘cookie’ is a small amount of information that is placed on your computer’s hard drive when you visit a website. It collects details of visitor behaviour, which can be used to improve the service delivered to you on a website. Your computer can be set to accept or reject cookies if you visit the “help” menu on your web browser. However, by rejecting cookies, you will not be able to use the “members’ area” of the site and you will not be able to complete the registration process. When you visit this site, your Personal Information may be collected using ‘cookies’. Such information is subject to data protection laws and is dealt with in accordance with this Policy.
